Proposal Coordinator

We are looking for a Proposal Coordinator to join our growing Proposal team. We are looking for someone who can apply their project management skills to coordinate content from a multi-disciplinary team to create a single voice response that tells a story in response to clients needs.

  • Conduct thorough analysis of proposal requirements (inclusive of Go-No/Go rationale).
  • Understand strategy to prepare suitable response framework.
  • Prepare and implement a proposal development schedule and communication plan to meet critical milestones (manage kick-off and check-in meetings and prepare/update responsibility matrices as required).
  • Prepare queries to gain clarity on client specific requirements (in support of story development).
  • Develop template structure and maintain ownership of master document throughout proposal development process.
  • Engage technical resources to coordinate and collect content relative to proposal requirements.
  • Proactively follow up with internal and external resources to ensure timely receipt of content.
  • Review and edit content for relevance and accuracy.
  • Search and provide additional content to substantiate story.
  • Complete overall proposal edits to accomplish a single voice submission.
  • Provide illustrative elements (if/when required) to support story telling.
  • Format proposals for final submission.
  • Identify proposal trends such as project types and locations and inform team.

Tool and Content Support

  • Identify and track content for future proposals using a content library.
  • Provide support to manage the content library.
  • Provide support in the development of new proposal tools such as templates, technology, and process implementation.
  • Liaise with marketing to ensure all proposal documentation aligns with corporate branding.

Proposal Team Support

  • Support proposal set ups through internal software (Ajera and network drives).
  • Monitor proposal websites (for example Merx/Biddingo) when required.
  • Provide support to maintain proposal and project files.


  • 5+ years proposal writing experience.
  • Bachelor’s degree or diploma in Business, Communications or a related field.
  • Strong communication and project management skills.
  • Highly organized, ability to work on multiple projects, prioritizing and meeting tight deadlines.
  • Analytical, logical thinker (for proposal and opportunity assessments).
  • Understanding of proposal development process and sales.
  • Proficient with Word, Excel and Powerpoint.
  • Working knowledge of InDesign is considered an asset.
  • Experience in the engineering industry is considered an asset but not required.
