We are looking for an Administrative Assistant professional to work in-office and be our front-line ambassador, that executes a high standard of service delivery and is welcoming to our clients and employees. How you will contribute to the team:
- Provide reception service by welcoming clients and visitors into our office.
- Respond to incoming phone calls for all Crozier offices and assist with any requests and/or concerns.
- Manage daily employee whereabouts.
- Prepare, format, review and edit company-branded correspondence as needed, such as letters, proposals, reports, presentations and memos.
- Perform administrative duties including printing, photocopying/binding, preparing of courier documents, and filing.
- Coordinate office meeting room bookings, assist with meeting arrangements, and set up conference calls.
- Coordinate document shredding, offsite document storage, including logging files to be sent to archive and initiation of retrievals.
- Ensure professional appearance of the office is at its best and perform light cleaning and tidying.
- Maintain office kitchen including supply of snacks, make coffee and run and empty dishwashers.
- Maintain office supplies inventory including kitchen, initiate & track orders and verify invoices before submitting to accounting.
- Assist with planning of office events, sending invitations, tracking RSVPs, catering arrangements, reservations, ordering lunches and booking hotels.
- Collect and distribute incoming and outgoing mail.
What you bring:
- Post-secondary education in Business, Administration, or a combination of education and experience.
- Minimum 3 years’ work experience in an Administrative Assistant or similar role.
- Prior work experience within an engineering or other professional firm is preferred.
- Strong client/customer service skills with experience working at reception/front desk.
- Tactful, energetic, team-oriented individual who can cultivate solid working relationships.
- Proven administrative skills within a fast-paced office environment.
- Demonstrated commitment to providing quality service and work.
- Strong written and verbal communication skills, solid proofing/editing abilities and attention to detail.
- Self-motivated with the ability to work independently and in a team.
- Proficiency working in MS Office (Word, Excel, PowerPoint, and Outlook).
