Administrative Coordinator, Engineering Services

THE OPPORTUNITY:

We are looking for an Administrative Coordinator who will provide administrative and project related support for our Building Science, Structural, Mechanical, Electrical (BSME) engineering department at our firm.

KEY RESPONSIBILITIES:

  • Assist Project Managers with the preparation of RFPs, project proposals, design change notices, and department promotional materials.
  • Assist with logging of construction documents such as RFIs (Request For Information), CNs (Change Notices), and shop drawings, and coordinate timely turnaround.
  • Coordinate department project deadlines, deliverables, and staffing requirements.
  • Assist Project Managers with invoicing and ASR (Activity Summary Report) summaries and budgets.
  • Assist with project coordination including scheduling project meetings and preparation of meeting minutes.
  • Update and maintain department technical standards (for example, Ontario Building Code updates and Electrical Safety Authority regulations).
  • Review overall quality and formatting of all documents for external distribution (for example, technical reports and pertinent emails.
  • Identify and coordinate any required training for department staff to ensure compliance with regulatory authorities.
  • Coordinate and regularly update department staff information, including resumes for project proposals.
  • Travel between offices may be required to meet with and assist department project managers as necessary.

WHAT YOU BRING:

  • Minimum three (3) years’ related administrative work experience.
  • Appreciation and understanding of land development and construction industry.
  • Proficient with Microsoft Office Suite, including MS Project.
  • Exceptional administrative, organizational, and time management skills.
  • Strong interpersonal, communication and public relations skills.
  • Ability to work independently and collaboratively as part of a multi-disciplinary team.
